Who Will My Data Go To?

Any details submitted via the Contact Us form or Request A Demo form on this website, sent to us via one of the email addresses on this website, or provided over the phone to us using the phone number on this website, will be stored and used by Greenlight Innovation Ltd. What Will You Use My Data For?

Details supplied via the forms on our website or sent to us via email will be passed to a member of our sales team who will then use your details to contact you regarding your enquiry. We’re doing this based on your explicit consent, seeing as you asked us to contact you.

If you prefer to give us a call or use our web chat facility, the information you provide to us will only be used to respond to your query and facilitate the sales process if applicable. Again, any of your data we store or use following our communication with you will be based on your consent for the purposes of responding to your enquiry.

We may request further information when following up your enquiry and anything you provide is entirely at your own discretion. This will be used as part of the sales process to provide the best advice and service we can to you.

Your details will not be added to any mailing lists and we will not attempt to carry out direct marketing to you in the future after filling in one of our contact forms, calling us, or using our webchat facility, unless a follow-up call is agreed with you.

Exactly Who Will Have Access to My Data?

The Greenlight Innovation sales team will have direct access to the information you provide. Our infrastructure team and support team could access it in the line of duty, but only if there’s a technical issue. We will never pass your details to anyone outside Greenlight Innovation Ltd unless legally required to do so or with your prior explicit consent.

If we get on well and you like what we have to offer, the protection of any data provided by you as a customer of Greenlight Innovation will be fully addressed in a separate services agreement.

Where Does My Data Physically Go?

Any data provided via our website contact forms will initially be stored on our website database hosted in the EU. It will then be emailed to the individuals noted above and stored in our CRM system which itself is located at our data centre in the UK. Our email servers are hosted in the UK. An encrypted backup will then be stored at our backup site, also in the UK.

All locations where your data may be stored by us are secure and subject to strict security policies. Unfortunately, the transmission of data over the Internet is not completely secure. We will take all reasonable steps to protect the data you share with us but due to the nature of the Internet we cannot guarantee its security in transit.

What Happens If My Data Is Lost, Corrupted or Stolen?

In the event of a data breach involving the data you have supplied to us, or if there is a risk that your data has been involved in a data breach, we will inform you without delay if the data affected by the breach could pose a high risk to your wellbeing in the wrong hands. We would also communicate promptly with the ICO while dealing with the matter and in establishing the levels of risk involved.

Will My Data Travel Anywhere Else?

Nope.

How Long Will You Keep My Data For?

We’ll store your enquiry data in our own Greenlight CRM system for 12 months from the last recorded activity with you. Data is removed from our website database monthly. Your data will remain in a fully encrypted state within our backup system for a further three months before being rendered completely irretrievable.

What Rights Do I Have Regarding My Data Once I Give It to You?

Lots! You can:

  • Ask us to provide you with all data we hold regarding you. In this situation we will take steps to verify your identity by reasonable means before supplying any information. The first time you request your information it will be supplied free of charge, although there may be a small administrative fee for additional requests.
  • Request that we update or remove any incorrect data that we hold regarding you.
  • Request that we erase any data that we hold regarding you.
  • Request that we cease using your data without erasing it.
  • You can withdraw your consent for us to hold or use your data at any time, in which case we would cease using it immediately and delete it promptly afterward unless required to hold on to some of it for contractual or legal reasons. This wouldn’t affect the legitimacy of any use or storage of your details before your consent was withdrawn provided it’s only used for the purposes listed above.
  • You have the right to lodge a complaint regarding our use of your data with a supervisory authority. This is the ICO (http://ico.org.uk) if you are based within the UK. If you are based outside of the UK but within the EU, you may prefer to engage your country’s own supervisory authority.

Our site includes links to other sites, especially in our blog posts. These sites will have their own privacy policies which you should read before submitting any information to them. We cannot accept any responsibility or liability for these policies or for data submitted to these websites.

Do I Need to Provide My Data to Greenlight?

Not at all.

Do You Carry Out Any Automated Decision Making or Profiling Using My Data?

None.

What about cookies and that sort of thing?

We use a few external services to log and analyse visits to our website so we can see what pages people are interested in and how our website is used. These use information such as your browser version, device type, date and time of visit and so on. We do this without sharing any information you may enter into any forms on our site.

Any third-parties that we send information to about your visit take all commercially reasonable steps to protect your data and ensure its integrity. This data is used for the purpose of logging visits and activity on our website.

We do use some cookies on our website as part of our security measures and website operation, but do not use cookies to track you or your activity on the Internet.

Anything Else I Should Know?

We use a third-party service that assists us in our sales and marketing activities by matching your IP address to registered company IP addresses. This allows us to see what types of companies our services and blog posts are relevant to, the sectors they operate in, the countries they’re from and the number of employees they have.

In the event that the IP address you access our website from is not matched with a known company address, the information is deleted without further processing. If the address is matched to a known company IP address then we may use publicly available information on your company website or LinkedIn to get in touch with an appropriate person in your organisation to find out more about the reasons for your visit.

We have carried out a Legitimate Interest Assessment (LIA) as advised by the ICO to assess the balance between our legitimate interests in conducting our business, and any impact on your rights and freedoms that may result from us using publicly available data in this way. The conclusion of this assessment is that we believe our use of data in this way is legitimate as no harm could result from our use of your data in this way and we use only information that has been made publicly available for business related purposes.
